White label bookkeeping questions, answered.
Your clients and your brand
Will you ever contact my clients directly?+
Never as WholesaleBookkeeping. When we need something from a client, such as details on an uncategorized transaction, we email them from the address on your domain, under your brand, and only after checking with you first. Your client only ever hears from your firm.
Will my clients know you exist?+
No. We work in their books using your firm's email address, and every report carries your branding. From your client's point of view, your firm does their bookkeeping.
What if one of my clients contacts you directly?+
We send them back to you. We never accept a partner's client as a direct client, while you're a partner or after. It's written into our partner agreement.
What happens to my clients if I stop working with you?+
They stay yours. We hand the books back in good order and remove our access. We don't contact them, and we don't try to keep them.
Are the monthly reports branded as my firm?+
Yes. Every monthly report is branded as your firm and sent from your domain, after you approve it.
How the monthly work gets done
How is monthly reporting done?+
We work in each client's books daily, categorizing transactions as they come in. On the 1st of each month, we send you any uncategorized transactions to review. Anything you can't answer, we email to your client from your domain. Then we reconcile every bank and credit card account, send the reports to you for review, and once you approve, email them to your client from your domain. Reports are delivered by the 5th of each month at the latest.
How do you handle uncategorized transactions?+
Before we reconcile, we send you a list of any uncategorized transactions. If you don't know the answer, we email your client from your domain to ask, so the books are closed accurately and your client only ever deals with your firm.
How is the chart of accounts set up?+
We use a standard chart of accounts that is clear and easy to read for both you and your clients. You'll get a full preview when you sign the partner agreement, as part of onboarding.
Which accounting software do you work in?+
QuickBooks Online and Xero. We don't work in QuickBooks Desktop.
What services are included?+
Bookkeeping. That's our focus. We don't do payroll, sales tax filing, or tax preparation, which keeps us from ever competing with the services your firm provides.
What if a client's books are behind?+
We quote a one-time cleanup at a flat, fixed price, never hourly, within 24 hours of getting access. You can mark it up before passing it on.
Pricing and billing
How does white label bookkeeping pricing work?+
You pay our wholesale price per client, per month: $229 for Startup, $429 for Grow, or $629 for Premium. You decide what to charge your client and keep the difference.
How do you decide which plan a client needs?+
Invite us into the client's QuickBooks Online or Xero file. We review it and tell you the plan within 24 hours.
Is there a contract or minimum commitment?+
No lock-in contract. Service is month-to-month, per client.
Who do you bill, me or my client?+
You. We never bill your clients. Payment is by card or ACH on file.
Support and your representative
Who do I talk to when I need something?+
Your dedicated representative. Every partner firm gets one person who knows your firm and your clients, reachable directly in Slack.
Can my own staff talk to your team?+
Yes. Your team or your in-house bookkeeping lead can message our team directly in your shared Slack channel. No hold times and no email chains.
Security
How do you keep my clients' data secure?+
We only access your clients' books through invitations you control, using an email address on your own domain. Two-factor authentication is required on every account we use, our team works under confidentiality agreements, and our access is removed the moment you ask. Read our security practices
